Email migration
Move your email from cPanel / IMAP hosting to Google Workspace
Businesses on hosting-company email — the mailbox that came with your website — moving to Google Workspace. We copy every message across, check each one against the original, and leave your old mailbox exactly as it was.
What moves
- Every message, copied whole and exactly as it was sent — so attachments, formatting and the original headers travel inside it.
- Your folder structure, recreated at Google Workspace.
- Read, unread and starred states.
- Anything that arrives while the move is running, collected by catch-up checks afterwards.
What doesn’t
Worth knowing before you start, because these are the two people assume are included:
- Calendars and contacts. They are not email — they have none of the identifying information we use to prove a message arrived intact, so we do not move them rather than move them unverified. Both providers offer an export and import for this, and it takes a few minutes.
- Messages the new provider refuses — usually oversized ones. They stay in your old mailbox and are listed by name on your report, so you know exactly which and where they still are.
What’s different about this move
- Your hosting mailbox uses real folders and Google uses labels. We recreate each folder as a label, and where Google would otherwise show one message several times we keep a single copy.
- Hosting-company servers are the most likely of any source to limit how fast we can read. We slow down to stay inside their limit rather than getting the account throttled, which is why an estimate here is a range.
- Your website and anything else on that hosting account are untouched. We only read the mailbox.
How long it takes
Usually a few hours for a single mailbox. Hosting-company servers commonly allow only two or three connections at once, so a domain with a dozen mailboxes runs overnight rather than in an afternoon. Your free check measures your actual mailbox and gives you a real estimate before you decide anything.
Keeping the same addresses
If your addresses are on your own domain, you keep them — what changes is the provider behind them. We run that as a switch-over rather than a single moment: your old provider stays live, we copy and verify everything at Google Workspace, and you change your domain over when you are ready. We show you exactly where that setting lives and what to put in it. Nothing goes dark while you do it, and you can take as long as you need.
How you know it worked
Three emails first
Before you pay for anything, we move three of your emails and show you the result at Google Workspace — the same message, same attachments, checked against the original. If that does not convince you, nothing else should.
Then every message, accounted for
We fingerprint each message before it leaves and check for it again after it lands. Your report says how many moved, what differed and why, and the one number that has to be zero: how many we could not account for. If it is not zero, you do not get a certificate and we come and tell you.
Questions about this move
Will my emails disappear from the old provider?
No. We only ever read from your old mailbox — we copy messages out, we never delete, move or reorganise anything in it. When the migration finishes, your old mailbox still contains everything it did before, and you can go back to it at any time.
Will attachments move?
Yes. We copy each message whole, exactly as it was sent, so attachments travel inside it rather than being reattached. We then check the copy at the destination against the original — including a separate check over the attachments themselves, so a message that arrived with its attachment stripped is caught rather than counted as a success.
What happens to my folders?
Your folder structure is recreated at the new provider and each message lands in the folder it came from. Gmail is the exception worth knowing about: Gmail uses labels rather than folders, and one message can carry several. Where that happens we keep one copy of the message rather than one per label, so your new mailbox does not gain duplicates your old one never had.
What happens to email that arrives during the migration?
It is not lost, but it does not travel with the main move — we work from a list taken when the migration starts, so anything arriving afterwards is not on it. We run catch-up checks after the move (and again 24 and 72 hours later) that re-read your old mailbox and copy across anything new. Your completion report counts those messages separately so you can see exactly what happened to them.
What if some emails fail to move?
You get a list of them, with the reason for each — usually a message too large for the new provider to accept, or one it rejects as malformed. Every one of those messages is still sitting in your old mailbox, untouched. The report separates what moved, what moved with a caveat, what did not move, and what we could not verify, and you can download the unmoved list as a spreadsheet.
Can I keep my existing email addresses?
If your addresses are on your own domain, usually yes — you keep the address and change the provider behind it. That is the harder kind of move, so we run it as a switch-over rather than a single cutover: your old provider stays live, your mail is copied across and verified, and you change your domain over when you are ready.
